How to manage your email in The HeartBeat
The Heartbeat is a very powerful communications hub for HAI. It’s important to understand a few things about how it deals with email.
First, to manage your email,
- Login in to HeartBeat
- Go to the upper right hand corner and on the dropdown where your name is select My Settings, then select Email Settings
From here you can manage your email settings. You can easily choose which kinds of email you will receive just by checking or unchecking the appropriate boxes.
In the lower part of the window you’ll see options for the Chatter Groups you belong to. Next to each one you can choose the Frequency with which you receive emails from that group. There are four options.
- Email on each post. If you use this option you will see the full text of every email that comes in, and you will be able to respond to them from within your email client.
- Daily Digests. With this option you will only receive emails once per day per group. The disadvantage is that messages are truncated after a couple of lines of text, and to see more you have to click on a link and go into the Chatter Group in The HeartBeat. You cannot respond to posts from within your email. If you click on Comment it takes you to the Chatter Group. (We are working with Salesforce to try to get this changed.)
- Weekly Digests. Works like Daily Digests, but weekly.
- Never. You will not receive any email from this group.
How do I opt out of all HeartBeat Emails?
The system is a little quirky around this. Here are the steps you need to take:
- Login in to HeartBeat
- Go to the upper right hand corner and on the dropdown where your name is select My Settings, then select Email Settings
- Here is where is where it gets quirky-
- For each group you are in change the Frequency to “Never“
- Than click Save
- Than click back into Email Settings, uncheck Receive emails, than click Save again
You will now get no more emails. UNLESS you join a new group. When you join a new group SalesForce automaticly sets you to receieve emails weekly for the group. To set this new group to Never you need to do the following:
- Go to into Email Settings
- Check the Receive emails box
- Change the new group to Never for the Frequency
- Click Save
- Go back into Email Settings, uncheck Receive emails, and Save again
